Go to the “Daily logs” tab to get familiar with this major Civalgo feature.
Daily logs can be viewed in two different ways: as a calendar and as a list. Each log is linked to a team and to a day. It is therefore mandatory to create a team before creating a daily log.
Static header
In the static header at the top of each log, you can see the team name as well as the date. You can change teams and view another log on the same date. Use the arrows to navigate to the previous or next report for the selected team. In this header, you can also see the name of the team leader and the person who scheduled the report. To the right of the header, you have the action buttons. You can:
Collapse or deploy each section of the report
Print the report by exporting a PDF
Share the daily log link with several people, whether or not they are Civalgo users
Notify your employees by text message before a working day. This feature sends information such as date, team, project, and additional planning details. It is not possible to use this feature for a log in the past.
Status management
Each log has 5 statuses:
To be planned
This is the status shown after creating a log. It usually means you will have activity that day with an X team, but nothing is planned yet. At the moment your log is empty.
To be filled
Once you have planned certain items in your log — such as adding projects and tasks, your resources, or even documents — it's time to set this “to be completed” status. This indicates that the log is ready to be completed by the people in charge. It is either the employees or the team leaders who will come and complete the sections from Civalgo or through our Logbook mobile application.
To be revised
This step means that the log has been completed and it is now time to review it before validating the costs. It is therefore necessary to reread each section and make the necessary changes before moving on to the next step.
To be validated
At this stage, your log has been scheduled, completed, and verified. It is now ready for the cost validation stage. Project managers can consult the “Cost Validation” page, which illustrates the costs by resources for that day. This page is pre-filled with the data previously entered in the “Resource Rates” page, if you had made your settings. You can manually edit the resource rate on this page if needed.
Validated
Once the costs have been validated, all the steps have been completed and your log is therefore complete for this day. Bravo!
The sections
A daily log is composed of several sections:
Title : The title is displayed in the calendar and list view. You can hide it in the calendar view thanks to a setting. It will allow you to quickly identify a project stage.
Description : The description is shown in the calendar and list view. You can hide it in the calendar view thanks to a setting. It will allow you to quickly hand in the information to be completed for the day or to receive a report from your construction man, without necessarily having to open it.
Comments : With comments, you can easily identify your colleagues to notify them of a message, a situation and add photos of events as well as your comments for this purpose.
Tasks : Add the projects and tasks you are going to work on for this day and for which you want to have a significant amount of progress.
Employees: Add your workforce and subcontractors who will carry out the tasks of the day. You can quickly enter blocks of hours by indicating the type of work, associated equipment, task performed, and bonuses received. You can also add a note to each employee.
Equipments : Add the equipment and your rentals that will be used for today's tasks. You can quickly enter blocks of hours by indicating the task performed, the employee who used the equipment, and a note and hour meter.
Materials : Add the materials you use during a work day. After you have associated an activity with it, you can indicate the quantities used that you will compare to the objectives indicated in the report by the planner or the project manager.
Forms : Add forms that you created previously in the “Forms” tab in the menu.
Documents : Add relevant documents to this report, such as photos or template/template that you need to fill out according to your organization or project.
Signatures : This section allows you to share specific sections or specific activities of this report with other people, whether or not they are Civalgo users. This can be useful, for example, to have this document signed by a customer, in the case of verification, validation before invoicing or in the case of an extra.
Some sections will allow you to capture a lot of data and visualize it in the “Project Control” tab. The more data you enter, the better your follow-up will be. You will thus be able to follow your projects in real time today in order to make the best decisions for the days to come.
