Go to the "Daily reports" tab to familiarize yourself with this major Civalgo feature.
Daily reports can be viewed in two different ways: as a calendar and as a list. Each report is linked to a team and a day. It is therefore mandatory to create a team before creating a daily report.
Static header
In the static header at the top of each report, you can see the team name and date. You can change teams and view another report for the same date. Use the arrows to navigate to the previous or next report for the selected team.In this header, you can also see the name of the team leader and the person who scheduled the report.To the right of the header, you have the action buttons. Notify your employees by SMS before a workday. This feature sends information such as date, team, project and additional scheduling details. It is not possible to use this feature for a report in the past.
Status management
Each report has 5 statuses:
To plan
This is the status indicated after a report has been created. It usually means that you'll have some activity that day with team X, but nothing is planned yet. For the moment, your report is empty.
To be completed
Once you've planned certain elements in your report - such as adding projects and tasks, your resources or documents - it's time to set this status to "to be completed". This indicates that the report is ready to be filled in by the people in charge. Either employees or team leaders will fill in the sections from within Civalgo or via our Logbook mobile application.
To be revised
This step means that the report has been completed, and that it is now time to revise it before validating the costs. Each section needs to be reread and any necessary changes made before moving on to the next stage.
To be validated
At this stage, your report has been planned, completed and checked. It is now ready for the cost validation stage. Project managers can consult the "Cost validation" page, which shows the costs per resource for that day. This page is pre-filled with the data previously entered in the "Resource rates" page, if you had made your settings. You can manually edit the resource rate on this page if required.
Validated
Once the costs have been validated, all the steps have been completed, so your report is complete for the day. Congratulations!
The sections
A daily report consists of several sections:
Title: The title is displayed in the calendar and list views. You can hide it in the calendar view using a setting. It allows you to quickly identify a project stage.
Description: The description is displayed in the calendar and list views. You can hide it in the calendar view using a setting. It will enable you to quickly hand over the day's information or receive a report from your site worker, without necessarily having to open it.
Comments: With comments, you can easily identify your colleagues to notify them of a message or situation, and add photos of events along with your own comments.
Tasks: Add the projects and tasks you'll be working on that day, and for which you'd like to have a progress report.
Employees: Add your workforce and the subcontractors who will carry out the day's tasks. You can quickly enter blocks of hours, indicating the type of work, the associated equipment, the task performed and any bonuses received. You can also add a note for each employee.
Equipment: Add equipment and rentals for the day's tasks. You can quickly enter blocks of hours, indicating the task performed, the employee who used the equipment, as well as a note and an hour counter.
Materials: Add the materials you use during a working day. Once you've assigned an activity to it, you can indicate the quantities used, which you can then compare with the objectives indicated in the report by the planner or project manager.
Forms: Add forms you've already created in the "Forms" menu tab.
Documents: Add relevant documents to this report, such as photos or templates to be filled in according to your organization or project.
Signatures: This section allows you to share specific sections or activities of this report with other people, whether Civalgo users or not. This can be useful, for example, to have this document signed by a customer, in the case of verification, validation before invoicing or in the case of extras.
Some sections will allow you to capture a lot of data and view it in the "Project Control" tab. The more data you capture, the better your monitoring will be. You'll be able to track your projects in real time today, so you can make the best decisions for the days ahead.
